Nepal CMU
With a portfolio value of around US$3.0 billion, the Nepal program has seen a significant growth in IDA loans (including both IDA credits, Regional IDA credits, and trust funds). Nepal is implementing the Country Partnership Framework (CPF) over the next five years, with an emphasis on three areas: public institutions and policies, growth and jobs, and inclusion and resilience. The World Bank country program offers financial assistance and technical advice in a variety of areas, with a concentration on infrastructure, energy, human development services, climate change, and disaster risk management. In addition, the program's top aim is to aid in the establishment of federalism. A Performance and Learning Review is being conducted to update the CPF, which will address the response to the COVID-19 pandemic as well as support for the Government's Green, Resilient, and Inclusive (GRID) agenda. Aid from the World Bank is routed through government agencies to meet agreed-upon development goals. The World Bank's technical teams are made up of employees from the Kathmandu office and around the world.
The World Bank Kathmandu Office's Nepal Country Management Unit (CMU) offers administrative and client support to task teams based in Kathmandu, as well as visiting missions. A Team Assistant is required due to the scope of the country program and the size of the administrative and operational obligations (Grade GB).
The World Bank Office in Kathmandu, Nepal is looking for a dynamic Team Assistant to join the team. The Team Assistant is an important member of the Administrative and Client Support (ACS) Team at the Nepal Country Office. S/he will provide administrative support to the Country Management Unit's Administrative Team (CMU). The role necessitates frequent communication with other institutional units, government authorities, and outside organizations, among other things.
Roles and Responsibilities:
The Team Assistant will carry out the full range of office support work in the Administrative Unit under the CMU.
The incumbent will perform the following tasks:
1. Prepare administrative letters and documents:
- For day-to-day general administrative activities, draft letters, notes, and correspondence.
- Prepare letters and memos to the Ministry of Foreign Affairs and other government offices for visas, tax exemptions, vehicle renewals, VIP visitors, and high-level visiting missions in accordance with flight schedules.
- Meet and greet VIPs/guests at the airport and organize for a smooth and efficient arrival, departure, immigration, luggage collection, and so on.
- Assist VIPs and guests in obtaining boarding passes and "Visas on Arrival" without having to wait in line.
- Assisting international employees with opening a local bank account, obtaining a shipping exemption, and transferring their driver's license.
- Assisting some retirees with filing a medical claim on the insurance website
- Prepare a letter for a VAT refund and enter the information on the IRD website.
- Assist with the processing of administrative invoices.
- Prepare a monthly summary of Diplomatic Pouch Bills based on their weight and charge codes for payment clearance and ensure that the bills are forwarded to Accounts (Resource Management Unit).
- Managing diplomatic pouches and other couriers, as well as interacting with the courier company Data is entered into the vendor's (DHL) online portal's sender and receiver sites, and shipping documents are printed and attached to the package.
- When managing transportation services, such as assigning vehicles and drivers to staff or teams based on demand or booking cars on their behalf, it is required.
- Maintaining and repairing business vehicles in a timely manner is essential.
- Maintain current car records, such as registration, renewal, maintenance, fitness, and insurance.
- Process monthly WiFi bills for office vehicles.
- Taking Care of Petty Cash
- assist with office maintenance.
- Cover for the administrative assistant(s) while they are away, especially in terms of stationery and office supplies.
- Purchasing items and services for usage in the office
- Any other administrative services that the office needs
- Suppliers or vendors will deliver goods and services to you.
- Assist with the organization of corporate events.
- Any other responsibilities allocated by management.
- High school graduation is required; a bachelor's degree is desirable.
- 2-3 years of relevant job experience in administration, logistics, or business management service.
- When it comes to completing prescribed chores, I am extremely organized and time-conscious.
- Working as part of a team and having strong interpersonal skills
- The ability to collaborate across departments and be proactive in addressing job difficulties is a must.
- Strong verbal and written English and Nepali language abilities, including the ability to design and edit a variety of letters and materials using proper grammar and punctuation,
- When necessary, proficiency in major business tools such as Excel for handling quantitative and logistical activities.
